Implementing software and establishing an accounting process solve different problems. The first prepares the system for use. The second determines how the restaurant’s real operations will be consistently reflected in documents and reports.
Accounting setup is needed when opening a restaurant or replacing disconnected employee practices with one clear operating process.
Start with processes, not buttons
The first step is to describe how goods and money move through the business, from placing a supplier order and accepting a delivery to selling to a guest and settling with a counterparty.
For example, receiving goods and paying a supplier are separate events. Full control requires an understanding of both stock on hand and outstanding balances. Recording only the payment will not tell you how much product remains in storage.
OpenService’s approach focuses on the document workflow of the actual restaurant, rather than simply explaining what each document does in the software.
Establish the starting point and responsibilities
To begin, the transition date must be agreed, the initial data prepared and responsibility for each operation assigned. Who records deliveries? Who approves write-offs? Who checks stock count results? Who is responsible for financial reports?
These decisions are then reflected in system settings, instructions and control procedures. Inventory accounting covers the movement of goods, while financial accounting covers cash transactions and settlements. iiko’s tools allow these tasks to be connected within one system.
Test the process in practice
Handing over an instruction manual is not enough to complete the setup. It is important to work through an operating cycle with employees and check that they understand the results of their actions.
After launch, the team should know not only how to enter a document but also how to check its effect on the accounts. OpenService’s setup methodology is designed to prepare employees for independent work.
